Administrative Assistant - 2K Games, Novato CA
Job Type: Full Time

SUMMARY:

Serves as initial contact for all callers and visitors to 2K Games Novato, CA headquarters; provides administrative and clerical support to office.

JOB RESPONSIBILITIES:

  • Answers, screens, and directs calls on multi-line phone system in a courteous and professional manner; takes messages and/or forwards telephone calls to appropriate employee, voice mail, or pager.
  • Meets and greets all visitors; determines their needs and directs them to the appropriate employee/locations.
  • Responds to visitors, clients, and employees in a courteous and professional manner.
  • Opens and routes incoming mail and packages.
  • Prepares and forwards outgoing mail and packages; maintains tracking information on all outgoing packages.
  • Orders and distributes company business cards.
  • Composes and types routine correspondence as required.
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing as required.
  • Assists with ordering and maintaining office supplies and arranging for equipment maintenance.
  • Keeps reception area organized.
  • Prepares and maintains meeting and conference room reservation schedules; circulates schedule to appropriate staff; assists with coordination of meetings including but not limited to preparing meeting rooms, ordering food and beverage service.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Coordinates calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule changes.
  • Assist with travel arrangements as required.
  • Completes expense reports as required.
  • Maintains company confidentiality; ensures requests for information are forwarded to appropriate individuals.
  • Serves as substitute for Executive Assistant and acts as back-up for Office Support as needed.
  • Performs other duties as assigned.

QUALIFICATIONS:

  • Education and Experience: High School Diploma or equivalent and 3+ years related experience.

SKILLS:

  • MUST be very strong with Excel, PowerPoint and Outlook
  • Excellent written and verbal communication skills.
  • Ability to determine and efficiently route incoming calls to the proper individual or department.
  • Proficient on Microsoft Office Suite.
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Commitment to excellence and high standards.
  • Strong organizational skills; able to manage priorities and workflow.
